Hiring a luxury wedding planner is a little like hiring a business partner for the next year of your life. You’re trusting this person with a significant budget, a caliber of vendors that doesn’t leave much room for error, family dynamics, and your experience of the actual day itself. That’s not a decision to make off of a beautiful portfolio alone – it should be based on expertise, experience, and personality fit, too.

“Luxury” often gets used loosely in the wedding industry. Sometimes it means a genuinely elevated, white-glove experience, and sometimes it just means a higher price tag on the same service everyone else offers. Before you sign anything, here are the questions worth asking to tell the difference (and honestly, the ones we hope you ask us!).

“What exactly is included in each planning tier, and where does the ‘luxury’ actually show up?”

Full-service planning, partial planning, and wedding coordination can mean very different things depending on the planner you ask, and at the luxury level, the details matter even more. Some planners call themselves “full-service” and still expect you to source your own vendors. Push past the tier names and ask exactly where the elevated experience lives. Is it in the level of access to sought-after vendors, the design process, the day-of team-to-guest ratio, and the responsiveness? Get specific, and ask for a written breakdown of what’s included at each level.

“How many weddings do you take on every year, and how many will you personally be at?”

This tells you a lot. Genuine luxury service means a deliberately limited client roster. A planner juggling too many weddings can’t give any of them the level of attention that caliber of day requires. Ask directly whether the person you’re meeting with now is the person who’ll actually be present on your wedding day, or whether you’ll be handed off to someone else on their team.

“Can I see a full timeline, floor plan, or design guide you’ve built for a past wedding?”

Anyone can talk about being organized and detail-oriented. A real timeline, down-to-the-minute, accounting for every vendor, every cue, every contingency, shows you what that actually looks like in practice. If a planner can’t show you one, that’s worth noting.

A floor plan tells you whether this planner thinks in terms of guest flow and experience. Where the bar sits relative to the dance floor, how guests move from ceremony to cocktail hour without a bottleneck, and whether the tables have good sight lines for special moments like dances and toasts. These may not be details you think about until you’re living in them, when it’s too late to fix them.

The design guide shows you the visionary follow-through. It’s one thing to talk about a beautiful vision in a consultation; it’s another to see it actually translated into a real, buildable document.

If a planner can’t show you examples of any of these, that could be a red flag.

“How do you handle vendor conflicts or things going wrong?”

Sometimes, weddings hit a snag somewhere. A vendor runs late, a rental order comes in missing items, or the weather shifts the plan an hour before the ceremony. You’re not asking whether problems happen, you’re asking how they get handled. With a good planner, they should be quietly solved before it even reaches you.

“What’s your communication style, and how fast can I expect to hear back?”

Some planners keep everything in emails. Some planners are quick texters. Some prefer scheduled calls and structured updates. None are wrong, but you want to know which one you’re getting. Response time is important; you should not be waiting longer than a few business days to hear back from your planner (and certainly not weeks).

“Do you carry liability insurance and is your business legally registered?”

These questions are easy to forget and very important not to. A planner running a legitimate business should carry professional liability coverage, and most venues actually require it. Being legally registered matters just as much – it means the business is properly formed (rather than an informal side gig) and licensed to operate in the state where you’re getting married. Together, these things are basic proof that you’re hiring an actual business, with the accountability and protections that come with it, not just a hobbyist. If a planner can’t answer either question clearly, that’s really important to note.

“What relationships do you have with high-end vendors in this market?”

At the luxury level, who a planner knows matters. Established relationships with sought-after media photographers, videographers, florists, and venues can mean more flexible availability, more attentive service, and pricing that reflects a real working relationship rather than a first-time inquiry. Ask which vendors they work with regularly, and why.

“Can you walk me through how you’d approach my specific vision?”

Don’t just ask what they’ve done before. Ask what they’d do with your wedding. The way someone responds to that question tells you more than any portfolio can. You’re listening for whether they’re actually listening to you, or reciting a version of the same answer they give everyone.

“Why did your last few couples choose you?”

This is our favorite question to be asked, honestly. Ask for real client references, not just curated reviews. A planner confident in their work will be glad to connect you.

At the end of the day, real luxury planning isn’t about the price tag. It is about the caliber of attention, relationships, and craft behind every decision. The right planner should feel less like a vendor and more like the calmest, most capable person in the room, and somebody you can trust without hesitation. If a conversation leaves you feeling reassured and excited instead of rushed or sold to, that’s a good sign you’ve found the right fit.
